Creating & assigning tasks on member profiles

Use Activities to create, assign, and track follow-up tasks on member profiles. This helps you use 360Alumni as an alumni engagement CRM for work such as outreach, stewardship, and engagement records.

When to use Activities

Create an activity when a staff member needs to take action or document an interaction with an alum. For example, you can use activities to:

  • Assign annual outreach calls to gift officers or alumni coordinators.
  • Track cultivation work for an alum who may have capacity to give.
  • Note when an alum volunteered, spoke at an event, or completed a campus visit.
  • Record notes about a member concern or disruptive behavior.

Create and assign an activity

  1. Go to Admin > Manage Community > Activities.
  2. Click Add Activity.
  3. Set the activity date.
  4. Select the member the activity relates to.
  5. Assign the administrator responsible for completing it.
  6. Choose the activity status: Not Started or Complete.
  7. Add a clear subject and any relevant notes.
  8. Save the activity.

The assigned administrator can use the subject and notes to understand what is needed and record the outcome when the task is complete.

Find activities that need attention

Use the centralized Activities dashboard to review work across your community.

  1. Go to Admin > Manage Community > Activities.
  2. To view outstanding work, select the red quick filter for activities that are Not Started.
  3. Use the available filters to narrow results by status, member name, subject, or assigned administrator.

View activities on a member profile

Activities are also available from the individual member record, so you can review a member's history alongside their profile details.

  1. Open the member's profile.
  2. In the profile sidebar, find the Activities area.
  3. Click the down arrow to expand the section.
  4. Select the option to show all activities when you need the full activity history.

This gives your team a shared record of follow-up and engagement without relying on separate spreadsheets or notes.
