Engaging Stakeholders

Engaging stakeholders early helps you build an alumni community that has useful content, clear ownership, and support across your organization. Invite the people who manage constituent relationships, data, communications, and programs before launch—not after.

Identify stakeholders by engagement area

As you plan your community, identify the teams and volunteers who can support each feature or engagement channel.

Explain the value of participating

Stakeholders are more likely to participate when they understand how 360Alumni supports their goals. Involve them in conversations about how they can:

  • Stay connected with their constituents through the alumni directory, Groups, Events, and Email Marketing.
  • Share news, opportunities, and program updates with the right members.
  • Increase attendance and participation for events and programs.
  • Support fundraising campaigns and strengthen donor relationships.
  • Find and reconnect with lost members or alumni.
  • Provide content, answer questions, and encourage members to participate.

Their input can also help you decide which alumni engagement tools to prioritize at launch.

Involve stakeholders before launch

Bring partners into planning early enough for them to influence the community setup, content plan, and launch approach. Early involvement creates shared ownership and makes it easier for each team to promote the community to its audience.

Include community volunteers at this stage, especially chapter leaders, group leaders, and other member leaders. They can offer practical feedback on community strategy, profile fields, Groups, Events, and the needs of their local or affinity communities.

Plan stakeholder involvement

  1. Make a list of potential stakeholders across your organization and volunteer community.
  2. Match each stakeholder to the engagement areas they can support, such as Events, Groups, Opportunities, Campaigns, Email Marketing, or member data.
  3. Meet with priority stakeholders to understand their goals, audiences, existing communications, and content they can contribute.
  4. Decide which stakeholders should join training with the 360Alumni team. Include anyone who will manage content, maintain member data, run programs, or support members.
  5. Set a date to engage each stakeholder alongside your community launch plan. Give them clear next steps, such as reviewing content, inviting members, creating a Group, posting an Opportunity, or sharing an event.
  6. Document owners for each area so your alumni community continues to have active content and support after launch.

Keep partners involved after launch

Stakeholder engagement should continue after launch. Establish a regular check-in with key partners to review upcoming Events, Email Marketing, Opportunities, Campaigns, and community content. Use member engagement reporting to identify what is working and where a team or volunteer can help increase participation.

A shared plan helps your community stay current, useful, and connected to the programs your members care about.
