Exporting profile data

Export profile data when you need to manually sync your alumni CRM with another system, prepare an update file, or retain a copy of your alumni database. Exports are generated as CSV files.

Export User Data

"User Data" is the object that contains the core fields stored on each member profile, including standard profile information and custom fields.

  1. Go to Records > Download Records.
  2. Click Export.
  3. Select the User Data object.
  4. Select the fields you want to include in the export.
  5. Click Save and Run.
  6. Check the export status. When the export is ready, the download button becomes active.
  7. Download the CSV file.

Export addresses, phone numbers, and other object data

Your alumni data is structured across multiple objects. A profile can have more than one secondary email address, phone number, address, social link, or custom object record, so these records are exported separately from User Data.

  1. Go to Records > Download Records and click Export.
  2. Select the object you want to export, and select the fields from that object to include.
  3. At the top of the field list, expand User Data.
  4. Select identifying fields to include with each record, such as first name, last name, and primary email. You can also select any needed custom profile fields. These appear at the bottom of the User Data field list.
  5. Click Save and Run.
  6. Download the CSV when the export is complete.

Including User Data fields with related-object exports helps you match each address, phone number, or other record to the correct profile outside 360Alumni.

Export your full alumni database

To retain the structure of your alumni CRM data, export each object separately rather than combining everything into one file.

  1. Create a workbook in Excel or Google Sheets.
  2. Export User Data, selecting all fields you need.
  3. Export each related object, such as addresses, phone numbers, secondary emails, social links, and custom objects.
  4. For every related-object export, include key User Data fields, such as name and primary email.
  5. Import each CSV into the workbook as a separate worksheet.

This approach preserves the one-to-many relationships between profiles and their related records, making the data easier to use in other data tools.

Include deactivated or pending users

Exports are filtered by default. Deactivated and pending users are not included unless you change the filter settings.

  1. Before running the export, review the available filters.
  2. Update the user-status filter if you need to include deactivated users, pending users, or both.
  3. Save and run the export.

Use the same status filters consistently across object exports when creating a complete alumni database backup.
